Three of the things YardNote runs today

How it works

Everything runs through WhatsApp. Nobody installs anything.

Your people use the phone and the chat they already open every day.

Step 1

Create your free trial

No credit card needed, just a chance to make your life easier.

Step 2

Onboard your team in 5 minutes

Load their phone numbers, load your business phone number, assign roles and let the system onboard everyone. POPIA compliant. Nothing is sold, and no other business can see your people.

Step 3

You and your employees respond to the questions on WhatsApp

Step 4

Choose the process you want to manage in your business

Like onboarding seasonal workers or work order management.

Step 5

See everything you manage through WhatsApp recorded, traceable and manageable in our online portal.

Every job, who it went to and when, with the recording and the translation kept beside it. Open the portal from any computer or phone browser.

Step 6

Everything recorded. Nothing missed.

WhatsApp goes from a group nobody can search to organised business data. Nothing missed, nothing forgotten.

Processes

Choose what runs on WhatsApp

Turn on the processes you need. Each one works the same way: your people use WhatsApp, and you get a record.

Work orders

Plan the jobs, send each worker a number and your voice note, and hear the replies on the right job.

Seasonal worker onboarding

Load a list of names and numbers when a new group starts. Each person is asked on WhatsApp, in their own language, agrees from their own phone, and the agreement is kept with the language on record.

Questions

Questions managers ask

Do my workers need to install anything?

No. They use the WhatsApp they already have. There’s no app, no login and no training.

Will my people actually use it?

They already open WhatsApp forty times a day. A voice note is something they send already. YardNote just puts the job number in front of it.

What does it cost my workers in data?

Voice notes are small. A one-minute voice note uses well under 1 MB. Workers use their own data, as with any WhatsApp message.

Which languages does it work in?

Your people can speak Afrikaans, English, Zulu and Sesotho, and you read what they said in your own language. A job is read out loud by machine in Afrikaans and English; in the others your workers hear your own recording. Each person chooses their own language, and you don’t have to share one.

What if the translation is wrong?

Then you press play. Every reply keeps the original recording, so you always hear exactly what was said. The translation is there to save time, not to replace the recording.

Whose name do workers see on WhatsApp?

Messages come from a YardNote business number. Every job opens with your business name, so the worker knows who is asking.

What about POPIA?

Each worker agrees from their own phone before receiving anything, and that agreement is kept on record. Only the people you give access to can open a recording or a translation, and the privacy notice says who else sees one.

What happens if there’s no signal?

WhatsApp holds the message and delivers it when signal comes back. Nobody has to do anything.

Can I stop at any time?

Yes. It is month to month. Cancel before the month ends and nothing further is charged.
